Yet, preparedness and action concerning digital materials is essential as more hard drives and CDs arrive from donors and old media begin to deteriorate. The ingest of new digital material, as well as ensuring older content is still accessible, is of great concern for archivists.  This panel investigates the strategies that small and medium-sized institutions are implementing in order to ensure the preservation of digital objects in their repositories.   Three panelists will also address their experience with digital preservation.  Particularly, [sub-topics could include:] in creating awareness and surveying of donors,the process of ingest, choosing/creating management software, creating metadata, developing a methodology for preservation or access, providing users access to the digital content.  Additionally, a panel member will discuss the working grant from the Institute of Museum and Library Services that was awarded to Northern Illinois University that is currently investigating this issue.&lt;br /&gt;

Audience members with novice interest and understanding as well as experienced digital archivists in small and mid-sized institutions would benefit from this session; it will address the current concerns and methods of practice in collecting and archiving digital content. Lynne M. Thomas is the co-Principal Investigator of this IMLS-funded National Leadership Grant. As Curator of Rare Books and Special Collections at Northern Illinois University, she is responsible for popular culture special collections, including papers of contemporary authors. She co-authored Special Collections 2.0, with Beth Whittaker of the University of Kansas (Libraries Unlimited, 2009). Thomas was also a leader in developing a white paper on digital preservation for a state-wide library consortium.&lt;br /&gt;

Meg Miner is a Project Leader at one of five Partner Institutions in the IMLS grant. She works with a variety of campus constituencies to collect, preserve and make accessible records that document the academic and organizational activities of Illinois Wesleyan University. As a member of the Ames Library’s Digital Initiatives team since 2006, Miner helps develop policies and conducts campus outreach to secure the university’s digital assets and to develop IWU’s institutional repository.&lt;br /&gt;
&lt;br /&gt;
Relationship to meeting goals:&lt;br /&gt;
The investigators of this IMLS grant are all from academic institutions, but we are working with community organizations that have even fewer resources than we do. Additionally, IMLS is requiring us to look beyond just the collections we regularly manage and to identify ways we can help all parts of our organizations secure their digital heritage—a timely topic given data curation requirements many researchers are facing. &lt;br /&gt;

Target audience:&lt;br /&gt;
Attendees facing digital preservation challenges in repositories that lack technical support and/or funds to procure the increasingly prevalent large, and costly, commercial services will benefit from the findings of this project.&lt;br /&gt;

Digital POWRR, or, Preserving (digital) Objects with Restricted Resources, is a project seeking an all-encompassing methodology for digital preservation that provides users the access to, or restrictions of, digital content that they create. This project is a result of a National Leadership Grant from the Institute of Museum and Library Services and involves five Illinois academic institutions investigating campus-wide preservation of digital objects. While many larger institutions have made considerable headway on digital preservation, medium-sized and smaller-sized institutions have struggled to make similar progress, largely due to lack of time, staff, or funds. Yet, they still have to tackle this issue if they want to preserve the historical memory of their institutions and be good stewards of the materials they collect or create.  &lt;br /&gt;
The poster will address the project’s aim as a whole (where the grant is as it ends its first-year and where it aims to go in the second-year); and highlight the work and findings at one partner institution: Chicago State University. Graphs will be used to show how staff and faculty are preserving their data on campus currently; and how confident or not confident they are that their data will be accessible in the future. Audiences will obtain the latest information on methods and tools to process digital material. The main focus of year-one of the project was to increase awareness of digital preservation on campus, which will be evaluated by the quantity of interviews and demonstrations/workshops that have been done on the respective partner campuses.&lt;br /&gt;

In the library, we (the Systems Unit), do most of the installation of the software on our work computers and servers, especially if it is library related software.  We have the local permissions to perform that function ourselves.  We don’t generally require permission from campus information technology unless it is an application/software that works over the network and requires that a system have a specific dedicated IP address and/or requires dedicated network routing.  If a piece of software does pose possible conflict with existing campus software and hardware infrastructure, then we initiate a discussion with campus information technology before fully installing and implementing the new software; if that situation arises, that could introduce some delay into the process.   &lt;br /&gt;
&lt;br /&gt;
Most of the time that it takes Systems to install software involves the following: reviewing the hardware and software requirements of the new software, some basic understanding of how to get the software working, how to configure it as needed, and what possible interactions there are with other existing software / antivirus programs.  Depending on the complexity of the software, installation can be as simple as a few minutes or a few hours.  I have worked with complex software that can take over two to three hours to install and configure properly.&lt;br /&gt;

&#039;&#039;No as of September 2012 there is no direct incorporation of digital resources into the CSU Archives and Special Collections mission and vision statement. Our partner institution, the CSU Library and Instruction Services (LIS) has done this.&#039;&#039;&lt;br /&gt;

&#039;&#039;The digital initiatives that are incorporated into the organization’s strategic plan include digitizing item from our collection, (i.e. student newspapers, thesis, yearbooks. photos from collections); and oral histories, which will be considered born digital (video and audio). The preservation of them is within priority number one in our new strategic plan. The digitization of them has been done in collaboration with the technical services department.&#039;&#039;&lt;br /&gt;

We also follow national authority standards for names, titles and subjects as we would when cataloging in Voyager or OCLC.  Also, a few years ago Gayle Porter assisted a task force group of CONTENTdm users (including an OCLC employee who worked with CONTENTdm) to develop Best Practices for using CONTENTdm to create and store metadata.&#039;&#039;&lt;br /&gt;

• Do you have staff specifically assigned to the digital collection initiative? Is staff from other parts of your organization involved in the digital collection initiative? What are the roles of the different individuals?&lt;br /&gt;
&#039;&#039;No, there is no specific staff member assigned to digital initiatives, each of the staff are involved in some level of digitizing items. Yes, other staff from other areas in the library are involved with our digital collections, Ms. Gayle Porter has been involved with metadata creation and the ETDs, Martin Kong, manages the systems and Mr. Bill Graham, who is no longer here ran the web sites. In addition, the Director of Technical Services (Dr. Sharon Hu), has been involved to plan and create CSU Digital Library with digital collections (2006-2012) including setup ContentDM client locally to join CARLI digital collections, to plan for digitization of available materials for CSU Digital Library, to apply for grants of digital projects (2008, 2010, 2012), to plan for Institutional repository system and setup Digitization Studio in the library with selecting and ordering related equipment and systems (2009-2010), and budgeting library acquisitions for digital collections, etc.&#039;&#039; &lt;br /&gt;
&lt;br /&gt;
• What technology staff is involved in your project? Are they part of your organization, your parent organization, or another organization? What are their responsibilities in the digital initiative?&lt;br /&gt;
&#039;&#039;They are a part of the parent organization (the Library); Systems Librarian and Equipment Manager staff, plus, Digital and Web Services Librarian (under hiring processing now) in Technical Services Department of CSU LIS, are involved in the digital project to maintain relevant equipment and related systems in the library.&#039;&#039;&lt;br /&gt;

• What staff is involved in digital preservation activities, both within your organization and parent organization? Is technology staff involved in digital preservation? Is preservation staff involved? What roles do they play?&lt;br /&gt;

Given that the IMLS has asked us to include faculty and institutional data curation in this work, many of these questions are unaddressed from a university-wide perspective at this time. The Ames Library began working on this issue in 2009, and applicable steps will be noted below. However, initial conversations with campus Information Technology Services (ITS) personnel as well as the hiring of a new Provost within the last two years have revealed that interest in the issue does spread beyond the library, and we anticipate no problem with campus cooperation on a philosophical level. Funding and staffing increases will be difficult, however.&lt;br /&gt;

Within The Ames library, support for digital initiatives was expressed as an outcome of Strategic Planning work in 2004. In 2006 a Digital Initiatives Team was formed and comprised of the library’s University Librarian, Technology Director, Scholarly Communications Librarian, Digital Projects Coordinator, and University Archivist. Funding for digitization initiatives has come primarily from the library; annual subscription costs for the institutional repository (implemented through bepress in 2008) are split among the library, the Mellon Center for Faculty and Curriculum Development, the Office of the Provost, and the Office of the President. However, we have not made a link between the repository and a preservation system at this time.&lt;br /&gt;

Frankly, it was the realization that the IR would not meet our preservation needs that led to the archivist seeking education on the topic of digital preservation. She attended two workshops that year: “Stewardship of Digital Assets,” October 2008, sponsored by NEDCC and “Digital Preservation Management,” November 2008, sponsored by the Midwest Archives Conference. On return, she consulted the Library’s Technology Director and they began an inventory of library digital assets. No other support was possible at that time, and so the work did not advance beyond securing a redundant-disk external hard drive.&lt;br /&gt;

Library only: In 2006, a working group made up of the University Librarian, Library Technology Director, Reserves and Digital Projects Coordinator, Scholarly Communications Librarian, and University Archivist established the principles that would guide digital initiatives generally and, in 2008, the repository initiative specifically.  The Digital Projects Coordinator is a staff member who is responsible for scanning, text-rendering with OCR, formatting audio/visual files, and tracking faculty publication permissions.  We hired a temporary staff member early on when we had a large quantity of scanning.&lt;br /&gt;

No, we have not been deterred. We have campus legal counsel approved forms for contemporary content. The archives’ policy (http://www.iwu.edu/library/information/Digital_collections.pdf) says we will migrate if needed to preserve the content. We use non-exclusive licensing agreements and interview agreement forms that specify our intention to distribute born-digital content online. People can and do decline us this right, but anything deposited is at least be available in-house, regardless of format. Anything removed from online (only happened in the IR at this point) still has a metadata record describing the item and the reason it was removed.&lt;br /&gt;

In addition, the Director of Technical Services (Dr. Sharon Hu), has been involved to plan and create CSU Digital Library with digital collections (2006-2012) including setup ContentDM client locally to join CARLI digital collections, to plan for digitization of available materials for CSU Digital Library, to apply for grants of digital projects (2008, 2010, 2012), to plan for Institutional repository system and setup Digitization Studio in the library with selecting and ordering related equipment and systems (2009-2010), and budgeting library acquisitions for digital collections, etc.&#039;&#039; &lt;br /&gt;

Given that the IMLS has asked us to include faculty and institutional data curation in this work, many of these questions are unaddressed from a university-wide perspective at this time. The Ames Library began working on this issue in 2009, and applicable steps will be noted below. However, initial conversations with campus Information Technology Services (ITS) personnel as well as the hiring of a new Provost within the last two years have revealed that interest in the issue does spread beyond the library, and we anticipate no problem with campus cooperation on a philosophical level. Funding and staffing increases will be difficult, however.&lt;br /&gt;

Within The Ames library, support for digital initiatives was expressed as an outcome of Strategic Planning work in 2004. In 2006 a Digital Initiatives Team was formed and comprised of the library’s University Librarian, Technology Director, Scholarly Communications Librarian, Digital Projects Coordinator, and University Archivist. Funding for digitization initiatives has come primarily from the library; annual subscription costs for the institutional repository (implemented through bepress in 2008) are split among the library, the Mellon Center for Faculty and Curriculum Development, the Office of the Provost, and the Office of the President. However, we have not made a link between the repository and a preservation system at this time.&lt;br /&gt;

Frankly, it was the realization that the IR would not meet our preservation needs that led to the archivist seeking education on the topic of digital preservation. She attended two workshops that year: “Stewardship of Digital Assets,” October 2008, sponsored by NEDCC and “Digital Preservation Management,” November 2008, sponsored by the Midwest Archives Conference. On return, she consulted the Library’s Technology Director and they began an inventory of library digital assets. No other support was possible at that time, and so the work did not advance beyond securing a redundant-disk external hard drive.&lt;br /&gt;

Library only: In 2006, a working group made up of the University Librarian, Library Technology Director, Reserves and Digital Projects Coordinator, Scholarly Communications Librarian, and University Archivist established the principles that would guide digital initiatives generally and, in 2008, the repository initiative specifically.  The Digital Projects Coordinator is a staff member who is responsible for scanning, text-rendering with OCR, formatting audio/visual files, and tracking faculty publication permissions.  We hired a temporary staff member early on when we had a large quantity of scanning.&lt;br /&gt;

No, we have not been deterred. We have campus legal counsel approved forms for contemporary content. The archives’ policy (http://www.iwu.edu/library/information/Digital_collections.pdf) says we will migrate if needed to preserve the content. We use non-exclusive licensing agreements and interview agreement forms that specify our intention to distribute born-digital content online. People can and do decline us this right, but anything deposited is at least be available in-house, regardless of format. Anything removed from online (only happened in the IR at this point) still has a metadata record describing the item and the reason it was removed.&lt;br /&gt;

In addition, the Director of Technical Services (Dr. Sharon Hu), has been involved to plan and create CSU Digital Library with digital collections (2006-2012) including setup ContentDM client locally to join CARLI digital collections, to plan for digitization of available materials for CSU Digital Library, to apply for grants of digital projects (2008, 2010, 2012), to plan for Institutional repository system and setup Digitization Studio in the library with selecting and ordering related equipment and systems (2009-2010), and budgeting library acquisitions for digital collections, etc.&#039;&#039; &lt;br /&gt;

Given that the IMLS has asked us to include faculty and institutional data curation in this work, many of these questions are unaddressed from a university-wide perspective at this time. The Ames Library began working on this issue in 2009, and applicable steps will be noted below. However, initial conversations with campus Information Technology Services (ITS) personnel as well as the hiring of a new Provost within the last two years have revealed that interest in the issue does spread beyond the library, and we anticipate no problem with campus cooperation on a philosophical level. Funding and staffing increases will be difficult, however.&lt;br /&gt;

Within The Ames library, support for digital initiatives was expressed as an outcome of Strategic Planning work in 2004. In 2006 a Digital Initiatives Team was formed and comprised of the library’s University Librarian, Technology Director, Scholarly Communications Librarian, Digital Projects Coordinator, and University Archivist. Funding for digitization initiatives has come primarily from the library; annual subscription costs for the institutional repository (implemented through bepress in 2008) are split among the library, the Mellon Center for Faculty and Curriculum Development, the Office of the Provost, and the Office of the President. However, we have not made a link between the repository and a preservation system at this time.&lt;br /&gt;

Frankly, it was the realization that the IR would not meet our preservation needs that led to the archivist seeking education on the topic of digital preservation. She attended two workshops that year: “Stewardship of Digital Assets,” October 2008, sponsored by NEDCC and “Digital Preservation Management,” November 2008, sponsored by the Midwest Archives Conference. On return, she consulted the Library’s Technology Director and they began an inventory of library digital assets. No other support was possible at that time, and so the work did not advance beyond securing a redundant-disk external hard drive.&lt;br /&gt;

Library only: In 2006, a working group made up of the University Librarian, Library Technology Director, Reserves and Digital Projects Coordinator, Scholarly Communications Librarian, and University Archivist established the principles that would guide digital initiatives generally and, in 2008, the repository initiative specifically.  The Digital Projects Coordinator is a staff member who is responsible for scanning, text-rendering with OCR, formatting audio/visual files, and tracking faculty publication permissions.  We hired a temporary staff member early on when we had a large quantity of scanning.&lt;br /&gt;

No, we have not been deterred. We have campus legal counsel approved forms for contemporary content. The archives’ policy (http://www.iwu.edu/library/information/Digital_collections.pdf) says we will migrate if needed to preserve the content. We use non-exclusive licensing agreements and interview agreement forms that specify our intention to distribute born-digital content online. People can and do decline us this right, but anything deposited is at least be available in-house, regardless of format. Anything removed from online (only happened in the IR at this point) still has a metadata record describing the item and the reason it was removed.&lt;br /&gt;

In addition, the Director of Technical Services (Dr. Sharon Hu), has been involved to plan and create CSU Digital Library with digital collections (2006-2012) including setup ContentDM client locally to join CARLI digital collections, to plan for digitization of available materials for CSU Digital Library, to apply for grants of digital projects (2008, 2010, 2012), to plan for Institutional repository system and setup Digitization Studio in the library with selecting and ordering related equipment and systems (2009-2010), and budgeting library acquisitions for digital collections, etc.&#039;&#039; &lt;br /&gt;

Given that the IMLS has asked us to include faculty and institutional data curation in this work, many of these questions are unaddressed from a university-wide perspective at this time. The Ames Library began working on this issue in 2009, and applicable steps will be noted below. However, initial conversations with campus Information Technology Services (ITS) personnel as well as the hiring of a new Provost within the last two years have revealed that interest in the issue does spread beyond the library, and we anticipate no problem with campus cooperation on a philosophical level. Funding and staffing increases will be difficult, however.&lt;br /&gt;
&lt;br /&gt;
Within The Ames library, support for digital initiatives was expressed as an outcome of Strategic Planning work in 2004. In 2006 a Digital Initiatives Team was formed and comprised of the library’s University Librarian, Technology Director, Scholarly Communications Librarian, Digital Projects Coordinator, and University Archivist. Funding for digitization initiatives has come primarily from the library; annual subscription costs for the institutional repository (implemented through bepress in 2008) are split among the library, the Mellon Center for Faculty and Curriculum Development, the Office of the Provost, and the Office of the President. However, we have not made a link between the repository and a preservation system at this time.&lt;br /&gt;
&lt;br /&gt;
Frankly, it was the realization that the IR would not meet our preservation needs that led to the archivist seeking education on the topic of digital preservation. She attended two workshops that year: “Stewardship of Digital Assets,” October 2008, sponsored by NEDCC and “Digital Preservation Management,” November 2008, sponsored by the Midwest Archives Conference. Library only: In 2006, a working group made up of the University Librarian, Library Technology Director, Reserves and Digital Projects Coordinator, Scholarly Communications Librarian, and University Archivist established the principles that would guide digital initiatives generally and, in 2008, the repository initiative specifically.  The Digital Projects Coordinator is a staff member who is responsible for scanning, text-rendering with OCR, formatting audio/visual files, and tracking faculty publication permissions.  We hired a temporary staff member early on when we had a large quantity of scanning.&lt;br /&gt;

No, we have not been deterred. We have campus legal counsel approved forms for contemporary content. The archives’ policy (http://www.iwu.edu/library/information/Digital_collections.pdf) says we will migrate if needed to preserve the content. We use non-exclusive licensing agreements and interview agreement forms that specify our intention to distribute born-digital content online. People can and do decline us this right, but anything deposited is at least be available in-house, regardless of format. Anything removed from online (only happened in the IR at this point) still has a metadata record describing the item and the reason it was removed.&lt;br /&gt;

Chicago State University opened its doors as a teacher training school in a leaky railroad freight car in Blue Island, Illinois on September 2, 1867. Today, in contrast, the university is a fully accredited public, urban institution located on 161-picturesque acres in a residential community on the Southside of Chicago. During the first year of its founding, CSU enrolled 62 students. The current student enrollment is nearly 7,200.&lt;br /&gt;
&lt;br /&gt;
The path from then until now has been marked by change. During more than 140 years, CSU has changed its name, focus, governance and location. But with each transition, the university has kept sight of its educational mission and enhanced its services to Chicago and its surrounding communities. &lt;br /&gt;
&lt;br /&gt;
Under the name of Cook County Normal School, the school found its first permanent home in 1870. Daniel S. Wentworth was the institution’s first principal. The original building contained 27 rooms and a model grammar school. A few years later, Cook County Normal School added a dormitory that earned it a jump in enrollment and a national reputation. The school was acquired by the Chicago Board of Education in 1897, and renamed Chicago Normal School. In 1913, it became Chicago Normal College, and still later Chicago Teachers College.&lt;br /&gt;
A major change, reflected in a broadening of the college’s curriculum, came in 1965, when control of the school passed into the hands of the State of Illinois. The revamped institution was renamed Illinois Teachers College: Chicago South. Soon after, the legislature acted to remove the title of “teachers college” from all state colleges and universities. In 1967, the school became Chicago State College. Throughout the 1960s, Chicago State expanded its academic programs and began to move toward fulfilling its new, more comprehensive role as a liberal arts institution. The school was renamed Chicago State University in 1971.&lt;br /&gt;
&lt;br /&gt;
In November 1972, the university made the monumental move from its 6800 South Stewart Street campus, where it had been located for 102 years, to its present location at 9501 South King Drive, 12 miles from the Loop. A new student union and a 360-bed residence hall opened in August 1995, giving CSU students an opportunity to experience the convenience of living on campus in an enriched academic, social and cultural environment.&lt;br /&gt;

Today, CSU is governed by a Board of Trustees appointed by Governor of Illinois. The university’s five colleges- Health Sciences, Arts and Science, Business, Education, and Pharmacy - offer 36 undergraduate and 25 graduate degree-granting programs. In addition, CSU has a Division of Continuing Education and Non-Traditional Programs that reach out to the community with extension courses, distance learning and not-for-credit programs.&lt;br /&gt;

Founded in 1850, Illinois Wesleyan has grown to become one of the nation&#039;s leading liberal arts institutions. The University enrolls just over 2,000 undergraduates from across the nation and around the globe and our graduates can be found in all 50 states and 52 countries.&lt;br /&gt;

The Ames Library opened in 2002 and is staffed by eight tenure track librarians, nine paraprofessionals, and 75 undergraduate student assistants.&lt;br /&gt;

==Northern Illinois University==&lt;br /&gt;
The Regional History Center at Northern Illinois totals 10,900 linear feet and encompasses 3 collections: The University Archives, Regional Collections, and the Illinois Regional Archives Depository (IRAD).  These first two collections are actively growing and continue to receive an ever-increasing number of donations in electronic form.  Currently, the majority of these electronic media are printed, and both the storage device and the analog copy  are added to the collection.  If the material is a born-digital record it is stored on a library&#039;s server in a loosely systematic method.  We recognize that these is not sustainable practices, but have not yet implemented new policies. &lt;br /&gt;

Existing audio-visual content is slowly being digitized as a DVD or stored on a library server.  We also continue to digitize our own photographs and parts of collections to share with our patrons, yet we only have the library&#039;s server and a disjointed file naming structure.  Nearly all are in JGP or TIFF formats.&lt;br /&gt;

Content digitized through our library&#039;s Digital Initiatives Department are available for patrons via their website.  Most digitized photographs are available for viewing on Flickr, but the archived copy, as well as any other collected born-digital material, is not available for public access.&lt;br /&gt;
